Getting started with Booking

Activate the Manager plan and learn what each Booking section is for: sessions, calendar, campaigns, session types and settings.

Written by Félix Mezcua

With Booking, Arcadina’s booking calendar, your clients book and pay for their photo session directly on your website. You get more sessions with less effort and more time for your work.

Activate the Manager plan

Booking is part of the Manager plan. You activate it in:

Control panel / sidebar / Account / Plans.

The Manager Professional plan includes up to 5 campaigns and session types; with Manager Studio they are unlimited. Both let you take a deposit to confirm the booking (for example €50 on a €200 service) and track the rest of the payments from your panel. If you’ve never activated the Manager plan, you can request the 30-day free trial from this page. If you need all of Arcadina’s services, the Suite plan is the best option.

Booking sections

You’ll find everything in Control panel / sidebar / Booking. Here’s what each section is for.

Sessions

Here you view and edit your clients’ bookings. You can also add sessions manually when they come in at the studio, by phone, WhatsApp or email.

Calendar

Check your schedule, block the days you don’t work and add sessions. You can sync it with Google Calendar, Apple Calendar or whichever calendar you usually use.

Campaigns

Create, activate and deactivate the campaigns you offer your clients: newborn, Christmas, first communion, family… Each campaign groups one or more session types: for example, your Christmas campaign can offer “Christmas mini”, “Christmas plus” and “Christmas premium”. Create the session types first.

Session types

Here you create and set up each type of service you sell, with its price, deposit, duration and the campaign it belongs to. These are the options your client chooses from on the booking page of your website.

Settings

Here you set the default values used when you create a new campaign or session type: available hours, session length and the text of automatic messages (confirmation, reminders and booking changes). You can then adjust them for each session type.
