Invoice management

Written by Laura Llorente París

Arcadina includes an invoicing system compatible with VeriFactu, the Spanish Tax Agency's system for verifiable invoice records. This article explains the invoicing options available in your management panel. The VeriFactu and Spanish tax settings described below apply to invoicing in Spain.

Where can I manage invoices?

To find your invoices, go to:

Management panel / sidebar / Sales / Invoices.

From this screen, you can:

  • View all the invoices you have created.

  • Edit invoice information.

  • Mark invoices as paid.

  • Run custom searches.

  • Create new simplified invoices.

  • Create new ordinary invoices.

  • Duplicate existing invoices.

  • Create corrective invoices.

  • Assign labels.

  • Download invoices as PDF files.

  • Send invoices by email or WhatsApp.

Below, we explain the main features in more detail, starting with the settings and invoice types available.

Before creating your first invoices

First, check that your invoice settings are correct. Go to:

Management panel / sidebar / Sales / Settings / Invoices.

The tabs in this section let you configure the following options.

Numbering

Here you can set the numbering format for ordinary and simplified invoices. A default series is already configured, and you can create as many series as you need.

For each series, you can define:

  • Series name.

  • Numbering format.

  • Prefix.

  • Next invoice number.

  • Prefix for corrective invoices.

  • Next corrective invoice number.

You can also configure whether invoices are sent to customers by email or WhatsApp when they are issued.

When you finish, you will find two buttons at the top of the screen: Display template and Save. Display template opens a sample invoice as a PDF so you can check how the information will appear.

Tax configuration

The Tax configuration tab lets you define the defaults applied to your invoices. For Spain, the available settings include:

  • Default VAT rate: choose 21%, 10%, 4% or 0%.

  • Maximum amount for simplified invoices: the default shown for Spain is €400.

You can change these default values to suit your invoicing settings.

Personalisation

In the Personalisation tab, you can set default invoice comments and customize the subject and message used when sending invoices by email. Select EN to edit the English version. This tab also lets you choose the fields to export to Excel and their order.

Check your details

Next, check that your business details are correct:

Management panel / sidebar / Account / Your data.

Types of invoices you can create

The Invoices screen has two buttons:

  • New simplified invoice. For products or services below the configured simplified invoice limit. The default maximum amount shown for Spain is €400.

  • New ordinary invoice. For products or services of any amount.

Create a new simplified invoice

Use New simplified invoice to start creating a simplified invoice. Review the invoice information before issuing it.

Create a new ordinary invoice

Use New ordinary invoice to start creating an ordinary invoice. Review the invoice and customer information before issuing it.

Duplicate an invoice

If you need to create an invoice similar to one you already have, you can duplicate it to reuse its information and save time. This is useful when you invoice similar products or services on different occasions.

To get started, go to:

Management panel / sidebar / Sales / Invoices.

Find the invoice you want to use as a starting point, click the three-dot button at the end of its row and select Duplicate.

When duplicating an invoice, you can select a customer or leave the customer unassigned and add one later while editing the draft. If you need to create a new customer, you can also do so from the invoice itself.

Before issuing the new invoice, check the customer details, date, line items, amounts and taxes to make sure they match the new transaction.

The duplicated invoice is managed as a manual invoice. If the original invoice was created from an order or a Booking reservation, the new invoice will not be linked to that order or reservation.

Other places in your panel where you can create invoices

As well as the Invoices section, you can create invoices from:

  • Client galleries / Orders.

  • Within each order.

  • Booking / Sessions.
