Invoice management: ordinary invoices

Written by Laura Llorente París

You can create ordinary invoices for the sale of products or services of any amount from your management panel.

This article walks you through the process and explains the actions available once you have created an invoice.

Where is invoice management?

To find your invoices, go to:

Management panel / sidebar / Sales / Invoices.

From this screen, you can:

  • View all the invoices you have created.

  • Edit invoice information.

  • Mark invoices as paid.

  • Run custom searches.

  • Create new simplified invoices.

  • Create new ordinary invoices.

  • Duplicate existing invoices.

  • Create corrective invoices.

  • Assign tags.

  • Download invoices as PDF files.

  • Send invoices by email or WhatsApp.

Below, we explain the main features in more detail, starting with the invoice types you can create.

Types of invoices you can create

The main Invoices screen has two buttons:

  • New simplified invoice. Use this invoice type according to the limit configured in your account and the requirements that apply to your business.

  • New ordinary invoice. Use this option for products or services of any amount.

The amounts, currency and tax values shown in the screenshots are examples from the test website. They are not presented as default tax settings for the United States or other countries.

Create a new ordinary invoice

On the main Invoices screen, click New ordinary invoice. This opens the first step of the invoice creation process.

Start by completing these sections:

  • Customer information: select the customer and choose whether to use the same address for billing and delivery. If necessary, use the New customer option.

  • Invoice details: choose the series, invoice date and payment method.

  • Comments: add any additional information you want to include on the invoice.

You can save your progress with Save draft or click Next to continue to the products and services step.

The next step lets you enter the line items to include on the invoice. In the Add line window, you can configure:

  • Product: choose the product you want to invoice, when applicable.

  • Subject: review the description associated with the selected product and customize it for this invoice. You can also enter the description of the service you are invoicing.

  • Price details: enter the quantity, price, any discount and the tax available in your configuration. Check whether the price includes tax.

When you have completed the fields, click Add. You will return to the invoice with the line item and its totals displayed.

You can continue to the next step or click Add line to include another product or service. This opens the same window again so you can enter the next item.

After adding more items, the invoice displays each line and the options to edit or delete it. Review the quantities, prices, discounts, taxes and totals before continuing.

When you have finished adding items, click Next to reach the final review screen.

The review screen brings together the customer information, invoice details, line items and totals. Check everything before issuing the invoice.

At this stage, you have three actions available:

  • Save draft.

  • View draft PDF.

  • Issue invoice.

If you click Save draft, you return to the main Invoices screen. Open the Drafts tab to find the invoice you have just saved.

To continue working on it, open the draft from this list. You will return to the invoice creation process and can complete or review the remaining information.

You can also open the customer's profile by clicking the customer's name where it appears as a link. The profile brings together the customer's account and personal details, order preferences, orders, reservations, invoices, galleries and contracts.

From the customer's Invoices section, select the invoice you want to resume. Look for the relevant invoice in the customer's invoice list.

View the invoice draft in PDF format

Click View draft PDF on the final review screen to see the invoice information in PDF format. You can download the draft if you want to check or keep a copy before issuing it.

Issue an invoice

When all the information is correct, click Issue invoice. The document changes from a draft to an issued invoice.

The invoice page then displays its identifying information, payment information and invoice details. From here, you can review the invoice and access the actions described below.

Create a corrective invoice

If you need to correct an issued invoice, the invoice page includes the option to create a corrective invoice, labeled Create amendment in the English panel.

Click that option to open a window showing the new invoice's reference. You can also add a comment explaining the reason for correcting the original invoice.

When you click Create, you return to the invoice page. A notice at the top identifies the original invoice as corrected.

Send the invoice to the customer

On the invoice page, open the Send menu and choose email or WhatsApp.

You can also send an invoice from the main Invoices list. Select the invoice, open the three-dot actions menu and choose the delivery method you want to use.

The three-dot button at the end of an invoice's row also gives you access to its email and WhatsApp sending options.

Add a payment to an invoice

Open the invoice from the main Invoices screen to view its payment information. In the payments section, you can record a full or partial payment using Manage payments, or create a payment link to help the customer pay the outstanding amount.

This section shows:

  • The total amount to pay.

  • The amount already paid.

  • The outstanding balance.

Alongside these amounts, you will find the actions to create a payment link and manage payments.

Create a payment link

You can generate a payment link and send it to the customer by email or WhatsApp so they can pay the outstanding balance.

Click Create payment link on the invoice. Before creating the link, you can edit:

  • The amount.

  • The expiration date.

The window also offers the option to send the link by email or WhatsApp. If you have already created links for this invoice, their history appears at the bottom.

If you choose email, review the message the customer will receive. You can edit the message before sending it.

Manage payments

Click Manage payments to record a payment the customer has already made, whether it covers the full invoice or only part of it.

Select the payment date, enter the amount, choose the payment method and click Add.

The paid and outstanding amounts are updated, and the new payment appears in the payment history.

Duplicate an invoice

If you need to create an invoice similar to one you already have, use the duplication option to reuse its information.

Go to Sales / Invoices, find the invoice you want to use as a starting point, click the three-dot button at the end of its row and select Duplicate.

This option is also available in the Drafts tab, as shown in this example of an ordinary invoice.

You can select a customer when duplicating the invoice or leave the customer unassigned and add one later while editing the draft. You can also create a new customer from the invoice itself.

Before issuing the new invoice, check the customer details, date, line items, amounts and taxes, and adapt them to the new transaction.

The duplicated invoice is managed as a manual invoice. If the original invoice was created from an order or a Booking reservation, the new invoice will not be linked to that order or reservation.

For more information about invoice settings and duplication, see the Invoice management article in this Help Center.

Create a new simplified invoice

To create a simplified invoice, go to Sales / Invoices and choose New simplified invoice. Review the configured limit and the information you need to include before issuing it.

Other places in your panel where you can create invoices

In addition to the Invoices section, you can create invoices from:

  • Client Galleries / Orders.

  • Within each order.

  • Booking / Sessions.
