Invoice management: simplified invoices

Written by Laura Llorente París

From your Management panel, you can create simplified invoices for the sale of products or services, according to the limit configured in your account and the requirements that apply to your business.

This Help Center article explains all the steps to create them and the different actions available.

Where is invoice management?

To find all the information about your invoices, go to:

Management panel / sidebar / Sales / Invoices.

From this screen, you can:

  • View all the invoices you have created.

  • Edit invoice information.

  • Mark invoices as paid.

  • Run custom searches.

  • Create new simplified invoices.

  • Create new ordinary invoices.

  • Duplicate existing invoices.

  • Create corrective invoices.

  • Assign tags.

  • Download invoices as PDF files.

  • Send invoices by email or WhatsApp.

Below, we explain the main features in more detail. First, let's look at the different types of invoices you can create.

Types of invoices you can create

The main Invoices screen has two buttons:

  • New simplified invoice. For products or services within the limit configured in your account, where this invoice type is appropriate for your business.

  • New ordinary invoice. For products or services of any amount.

The amounts, currency and tax values shown in the screenshots are examples from the test website. They are not default tax settings or legal limits for the United States or other countries.

Create a new simplified invoice

On the main Invoices page, click New simplified invoice. Remember to check the limit configured in your account and the information required for your transaction.

The first screen lets you enter the initial information for your new simplified invoice:

  • Customer (optional): you can choose a customer for internal management and platform metrics. As indicated in the panel, this customer does not appear on the simplified invoice.

  • Invoice details: select the series, invoice date and payment method.

  • Comments: add any additional information you want to include.

Once you have completed the fields, you can save the simplified invoice as a draft or continue to the next screen with Next.

The next screen lets you enter the products or services. In the Add line window, you can configure:

  • Product: choose the product you want to invoice, such as a digital package, when applicable.

  • Subject: a description associated with the selected product appears by default. You can customize it for each invoice or enter the description of the service you are invoicing.

  • Price details: set the quantity, price, any discount and the tax available in your configuration. Check whether the price includes tax.

When all the fields are complete, click Add. You will return to the invoice screen with the information you have entered.

At this point, you can continue to the next screen or add another line first. To do so, click Add line. The same window opens again so you can enter another product or service.

After adding the new product or service, you return to the invoice. You can see the items you have added and the options to edit or delete their information.

When you have finished this part of the invoice, click Next to see the final screen before issuing it.

You can save the invoice as a draft. Clicking Save draft returns you to the main Invoices page. Open the Drafts tab to find the invoice you have just saved.

Open the draft from this list to return to the invoice creation process and continue where you left off.

If you have assigned a customer, you can also open their profile by clicking their name where it appears as a link. The profile brings together the customer's account credentials, personal details, order preferences, invoices, orders, galleries, contracts and reservations.

To return to the invoice from the customer's profile, open Invoices and select the relevant invoice. This takes you back to the stage you had reached while creating the simplified invoice.

On the final screen, you will find the invoice information and three actions:

  • Save draft.

  • View draft PDF.

  • Issue invoice.

View the invoice draft in PDF format

Click View draft PDF to open a screen with the invoice information in PDF format. You can download the draft if you wish.

Issue an invoice

When you click Issue invoice, the document changes from a draft to an issued invoice. The full invoice page shows its reference, invoice information and invoice details.

Create a corrective invoice

The invoice page also includes the option to create a corrective invoice if necessary. In the English panel, this option is labeled Create amendment.

If there was an error when creating the invoice or you need to correct its information, use this option to create a corrective invoice.

A window opens showing the reference of the new invoice. You can also add a comment explaining the reason for correcting the original invoice.

When you click Create, you return to the previous screen. A notice at the top indicates that the original invoice has been corrected.

Send the invoice to the customer

On the invoice page, open the Send menu to choose email or WhatsApp.

You can also send the document from the main Invoices page. Select the invoice, open the three-dot actions menu and choose your preferred sending option.

The three-dot button at the end of the invoice's row also provides access to the customer sending options.

Add a payment to an invoice

Open an invoice from the main Invoices page to see its information. Among the available actions, you can record a full or partial payment already made by the customer using Manage payments. You can also create a payment link to make it easier for the customer to pay.

The payments section shows:

  • The total amount to pay.

  • The amount already paid.

  • The outstanding balance.

Alongside these amounts, you will find two actions:

  • Create payment link.

  • Manage payments.

Create a payment link

To help your customers pay an outstanding amount, you can generate a payment link and send it by email or WhatsApp.

Click Create payment link on the invoice. A window opens where you can edit the following information before creating the link:

  • The amount.

  • The expiration date.

You can also choose to send the link by email or WhatsApp. If you have already created payment links for this invoice, their history appears at the bottom of the screen.

If you choose to send the link by email, review the message the customer will receive. You can edit it before sending.

Manage payments

Click Manage payments to open a window where you can manually record a payment the customer has already made, either in full or in part.

Select the payment date, enter the amount, choose the payment method and click Add.

The paid and outstanding amounts are updated, and the updated payment history is displayed.

Duplicate a simplified invoice

If you need to create a simplified invoice similar to one you already have, you can duplicate it to reuse its information and save time.

Go to:

Management panel / sidebar / Sales / Invoices.

Find the simplified invoice you want to use as a starting point, click the three-dot button at the end of its row and select Duplicate. This option is also available in Drafts, as shown in the example.

In the duplication window, you can select a customer or leave the customer unassigned and add one later while editing the draft. You can also create a new customer from the invoice itself.

Click Duplicate and review the draft information. Before issuing the new invoice, check the date, line items, amounts, taxes and customer details, if you selected a customer.

The duplicated invoice is managed as a manual invoice. If the original invoice was created from an order or a Booking reservation, the new invoice will not be linked to that order or reservation.

For more information about invoice duplication, see Invoice management in this Help Center.

Create a new ordinary invoice

To create an ordinary invoice, follow the steps in Invoice management: ordinary invoices.

Other sections of your panel where you can create invoices

In addition to the Invoices section, you can issue invoices from other areas of your Management panel:

  • Client Galleries / Orders.

  • Within each order.

  • Booking / Sessions.

The Help Center articles about invoicing orders and sessions explain the corresponding processes.
