Invoices: how to invoice orders

Written by Laura Llorente París

You can create invoices from the Invoices section under Sales in your Management panel. You can also invoice your orders directly from the Orders page.

This Help Center article explains the steps to create invoices from the main Orders page and from within an individual order.

First, let's review the initial settings you need before invoicing and how to create invoices through the Invoices section.

Settings before creating your first invoices

Before creating your first invoices, configure the following settings:

  • Numbering.

  • Tax settings.

  • Personalization.

You will find these options at:

Management panel / sidebar / Sales / Settings / Invoice adjustments.

For a detailed explanation of the options in each section, see Invoice management in this Help Center.

The amounts, currency, tax values and limits shown in the screenshots belong to the test website. They are not presented as default tax settings or legal limits for the United States or other countries. Use the settings appropriate for your business.

Creating invoices through the Invoices section

Go to:

Management panel / sidebar / Sales / Invoices.

This is where you can create your invoices. The main screen includes two buttons:

  • New simplified invoice. For products or services within the limit configured in your account, when this invoice type is appropriate for your business.

  • New ordinary invoice. For products or services of any amount.

The articles Invoice management: simplified invoices and Invoice management: ordinary invoices explain both processes in detail.

Other sections of your panel where you can create invoices

In addition to Invoices and Orders, you can invoice your sessions through Booking. See Invoices: how to invoice sessions for the corresponding process.

Create invoices from the main Orders section

There are several ways to create invoices through the Management panel. Here, we explain the options available from Orders.

Go to the Orders section under Client Galleries:

Management panel / sidebar / Client Galleries / Orders.

Select the order you want to invoice and click Invoice.

If the necessary invoice settings have not been configured, the panel may display a warning asking you to complete them first and provide access to the relevant settings.

For one order, the panel opens its invoice window. Review the available option to save a draft or issue the invoice, together with the date, series and any warnings shown for that order.

If you select several orders, the Invoice orders window lets you review:

  • The series for ordinary invoices.

  • The series for simplified invoices.

  • The date.

  • The orders to include and their available invoice types.

Orders that can be invoiced are selected by default. Uncheck any that you do not want to include. Review warnings before confirming: for example, the panel can ask you to complete customer details before issuing an ordinary invoice.

Once the information is correct, click Confirm to issue the selected invoices. The panel displays a confirmation after they have been created.

If you select an order that already has an invoice, the window warns you so that you can review it before continuing.

Create invoices from within an order

You can also create an invoice from an individual order's details page. Return to:

Management panel / sidebar / Client Galleries / Orders.

Click the order to open its page. At the top, you will find the Invoice order button.

Click it to open a window with the order's invoice information. If the customer details needed for an ordinary invoice are missing, the panel displays a warning.

The available actions depend on the order and its details. You can create a draft for later review, or issue the available invoice type. A simplified invoice is offered when the order meets the limit configured in the account. Check the selected action before continuing.

Complete the customer's details

To complete missing customer details, click the link in the warning shown in the invoice window.

The customer details form opens so that you can enter the missing information. Complete the required fields and click Save changes to return to the order.

Manage an order's payments

Within each order, you can manage the payments received from customers and create a payment link to help them pay an outstanding amount.

The Charges section on the order page shows:

  • The total amount to pay.

  • The amount already paid, labeled Charged in the panel.

  • The outstanding amount, labeled Pending.

Alongside these amounts, you will find two buttons:

  • Create payment link.

  • Payments management.

These controls are visible in the order page screenshot above. Below, we explain both options in more detail.

Create a payment link

To help customers pay the outstanding amount on an order, you can generate a payment link and send it by email or WhatsApp.

Click Create payment link to open a window where you can edit the following information before generating the link:

  • The amount.

  • The expiration date.

The window offers sending options for email and WhatsApp. If you have already generated links for this order, their history appears at the bottom.

If you choose email, review the message the customer will receive. You can edit it before sending.

Payments management

Click Payments management to open a window where you can manually record a full or partial payment already made by the customer.

Select the payment date, enter the amount, choose the payment method and click Add.

The paid and outstanding amounts are updated, and the updated payment history is displayed.

Invoice an order

After completing the customer's details, click Invoice order again. Once the required information is complete, the missing-data warning will no longer appear.

Review the invoicing options and the selected action. Choose to create a draft or issue the appropriate invoice, then click Continue. When you choose to issue it, the panel displays a confirmation after creation.

To check or review the invoice, go to:

Management panel / sidebar / Sales / Invoices.

You will find the invoice you have just created from the order in this list.

Invoice orders automatically

You can configure the panel to issue an invoice automatically when an order is marked as paid. First, go to:

Management panel / sidebar / Client Galleries / Settings / General / Orders.

Enable Automatic billing and save your changes.

Then return to the main Orders page, select an order and click Change status.

When you choose Charged as the new status, the option to create an invoice appears. Review this option and any customer notification or download-email options before saving the status change.

Duplicate an invoice created from an order

If you need to create a new invoice similar to one from an order you have already invoiced, you can duplicate it to reuse its information.

Go to:

Management panel / sidebar / Sales / Invoices.

Find the order's invoice, click the three-dot button at the end of its row and select Duplicate.

In the window that opens, you can select a customer or leave the customer unassigned and add one later while editing the draft.

The new invoice is managed as a manual invoice and is not linked to the original order. The duplication window reminds you of this condition.

Before issuing the new invoice, review the customer details, date, line items, amounts and taxes, and adapt them to the new transaction.

See the duplication section of Invoice management for the full process.
